Modernization of legacy B2B data exchange reduces risk and accelerates scale for global tech company
The Challenge
Legacy systems restrict transparency, speed and operational confidence
Legacy partner integration systems typically create technical, operational and business challenges that slow down growth and make partner relationships harder to scale.
Our client, a global tech company, relied on an aging B2B data interchange system whose limited visibility and heavy manual involvement made it difficult to scale and maintain operational accuracy. The company had no real‑time insight into file status or failures and internal teams frequently had to intervene in routine connection issues. The absence of automated alerts meant documents stuck in SFTP or failed AS2 transmissions went unnoticed until a partner reported unreceived files.
Manual certificate management processes increased downtime risk and onboarding new partners required extensive support involvement. With 31 document types and 47 document formats flowing through the ecosystem, the legacy platform became increasingly complex to manage and ineffective for modern operational demands.

The Objective
Build a secure, automated integration platform that scales with business growth
The company’s goals were to enhance transparency, accelerate onboarding, reduce operational risk, support diverse partner needs, ensure system reliability amid growing volumes, increase downstream data accuracy and strengthen audit readiness.

The Solution
Deployment of a modern business integration platform with automation at its core
With our data management and onboarding expertise, HCLTech created the Self‑Serve Partner Onboarding system to enable partners to independently complete configuration, testing and validation. The new system enabled 116 onboardings, including 53 DI onboardings and 63 BI onboardings. Other solution features include:

- Automated monitoring and issue detection: Introduced alerts for AS2 failures, SFTP file delays and daily certificate/key expiration checks
- Improved security and lifecycle governance: Maintained 118 AS2/SFTP connections, 42 annual certificate updates and 96 SFTP key updates
- Enhanced document transformation: Delivered 800+ configuration changes and 60+ EDI code updates, including preventing a reoccurrence of $847K in invoice failures
- Strategic projects: Protected $180M in inventory value via the ASN release mechanism and saved $150K annually by migrating invoices to direct AS2
The Impact
Operational efficiency, risk reduction and measurable financial gains
The platform’s automation-driven efficiency and reduced manual intervention improved reliability across 1.46M+ annual transactions. It also:

- Saves the client $150K annually
- Prevents costly downstream failures
- Strengthens the company’s audit readiness
- Creates a scalable foundation for future integrations
In short, HCLTech expertise boosts collaboration between the client and its suppliers and retailers. The tool, tailored to meet the unique needs of each partner, provides ongoing technical support for optimal performance.
